Building & Sending HTML Email - Part III

 

PLEASE NOTE: Before working with this tutorial, be sure to schedule an "emailer-specific" one-on-one training session with Web Services. Please schedule training session here. For the time being, these training sessions will be held via WebEx Teams.

Steps

Part III - Mailing with OU Campaign Manager | Back to Part II

  1. Login to the Campaign Manager at https://htmlemail.ccri.edu/login  screenshot
  2. In the "Overview" tab, click on the "test email" email draft.screenshot
  3. Above the Campaign and Sender box, click the "Edit" button.screenshot
  4. Fill in the fields indicated below, replacing the "dummy text" with your emailer's text and click the "I'm done, return..." button. (You can always come back and modify these before sending.)screenshot
  5. Next, click the "Define content" button.screenshot
  6. Select the "Import from the web" button, then paste the URL of the emailer in the field below it. Make sure the "Move my CSS inline..." checkbox is selected, then click the "Import" button.screenshot
  7. On the next screen, click the "Preview it" link.screenshot
  8. When the preview box pops up, grab a corner (side or bottom) and resize it down to roughly the width of a cell phone. You're doing this to make sure everything scales down properly. Make sure you make the box deep enough so that you see all of your main content area (or scroll down to see it.) If there's anything strange-looking, or if you see a horizontal scrolling bar appear, there's a problem with your content. If this happens, submit a ticket to Web Services for assistance.  (Please include the URL of your mailer.)screenshot
  9. Close the preview window and click the "send a test email" link.

  10. Put your own personal email in the address field to mail it to yourself while testing, or a group email if you want the group to get the test as well. You can have up to 5 addresses, each separated by a comma (no spaces.)screenshot
  11. Go to the email account you mailed it to and open it. Note that the test emails always say "Preview" in the subject.

  12. Note the areas indicated below and how they correspond to the areas you've filled out in the Campaign Manager. Also, it's a good idea to test the "View as a webpage" link at this point, it's an easy item to forget to do in the email building process. (Part II, items 21-24)
    1. Be sure to view the email in Outlook desktop version on a Windows machine -this is the most problematic email client and, unfortunately, widely used.
    2. Just viewing on an Apple machine is NOT a good test -they are very forgiving of problems and errors that can be glaring in Outlook on Windows.
    3. This is also a good time to preview the test email in your smartphone.screenshot
